This is the final post on this blog.

After carrying out a review of existing reference management products and consulting a number of Endnote users within the University, the Endnote subscription has not been renewed. Instead the University has chosen to subscribe to an alternative web-based product called Refworks.

Although the last version of Endnote will remain on the University network for the time being, there is a strong possibility that it will drop off the network at some point in the future.

Therefore current Endnote users are strongly advised to transfer their references across to Refworks. Instructions on how to do this can be found in the Copyright and Referencing section of the library area of the CU Portal.

OSCOLA

Sage Journals: Exporting references

This database does allow you to directly export references into an Endnote library, however in the process of exporting it often asks you to choose an import filter. The import filter you need to select is called Mgt & Org Studies (CSA).

Missing EndNote tools on Vista PCs

If you use one of the network PCs that has been upgraded to Vista you won't be able to view the EndNote tools in Word in order to add references to your documents.

IT Services have been informed of this problem, but in the meantime you can use the Remote Desktop Connection on these PCs in order to work with EndNote. If you haven't used the Remote Desktop Connection before, a guide is available to help you get started.

Disappearing EndNote tools in Word 2007

If the EndNote tab is not visible in Word 2007 try running the Configure EndNote option, following the instructions in an earlier blog post.

If the tab is still not visible it may be that the Cite While You Write function has been disabled. To enable it again follow the instructions below:

In Word click on the Office button at the top left of the screen
Select Word Options from the bottom right
Select Add-Ins from the menu on the left
Under Manage (at the bottom of the window) select Disabled Items and click Go
Select Cite While You Write and click Enable
Close Word and then re-open it. The EndNote tab should now be visible

Engineering Village II: exporting references into EndNote

If you use the databases Compendes or Inspec through Engineering Village II and want to export references into your EndNote library, simply follow the steps below:

Carry out your search as normal
Mark the references that you want to put into EndNote using the tick box to the left of the record
Click on the Download option at the top of the screen (just above the search results)
Select the RIS, EndNote, ProCite, Reference Manager option and click on Download
Click on Open from the File Download box
Select your EndNote Library and click Open

The references will now be added to your EndNote Library.

References to DVDs and Videos

If you want to add a reference to a DVD or video to your EndNote library, you will need to enter it manually using the audiovisual reference type.

Complete the fields for author, year, title, city (although this might be a country) and publisher (distributor). Scroll down the record to find the Format field and enter DVD or Video.

Your reference should then format correctly e.g.

Radford, M. (2004) William Shakespeare's the Merchant of Venice. [DVD] UK: Shylock Trading Limited

Wiley InterScience: exporting references into EndNote

If you find a journal article through the Wiley InterScience journal service and want to put it into your EndNote library, simply follow the steps below:

Search for the journal articles as normal
Click in the Select box to the left of the references that you are interested in
Scroll to the bottom of the screen and click on Download Selected Citations
Under Format choose EndNote
Click on Go
From the File Download box select Open
Choose your EndNote library and click Open

Your references will be added to your EndNote library

Strange citations in Word

Don't panic if the citations in your Word document suddenly start displaying in curly brackets,
e.g. {Smith, 2001 #8}

It just means that you have unformatted them by mistake. To solve the problem simply follow the steps in the earlier Format citations in Word post.

SwetsWise Journals: importing references into EndNote

If you find a journal article through the SwetsWise journal service and want to put it into your EndNote library, simply follow the steps below:

Search for the journal articles as normal
Click on the add to filing cabinet option underneath the references that you are interested in
Click on the Filing Cabinet link at the top of the screen on the right
Click on download filing cabinet
Select the information that you want to be included in your references e.g. article title, publication name etc.
Under default download file type select EndNote
Click on download
Select Save from the File Download box
Save the file in the normal way

In your EndNote library

Select File > Import...
Click on Choose File... and find the file that you have just saved
Under Import Option select Other Filters...
Find the EndNote Import filter and click on Choose
Click on Import

Your references will be added to your EndNote library

JSTOR: exporting references into EndNote

If you want to export references from JSTOR into your EndNote library you will have to do them one at a time using the steps below:

Carry out your search as normal
Choose which reference you want to export to EndNote and click on the Export this Citation link at the bottom of the record
Select the EndNote, ProCite, Reference Manager (download RIS file) option
Click on Open in the File Download box
Choose your EndNote library and click Open

Your reference will now appear in your EndNote library.

Note: The only way to export multiple references is if you have an individual login for JSTOR.

Outputting an EndNote record in full

Occasionally you might want to output your EndNote references in a format which will show the information stored in all the EndNote fields, rather than just the brief format of a standard reference. To do this follow the steps below:

In your EndNote library use the Bibliographic output style box to choose Select Another Style...
Select the Show all fields style and click Choose
Make sure that you can view your EndNote Library and Word on screen at the same time, by resizing the windows.
Within EndNote highlight the references that you want to output. (Use the Ctrl key to select multiple references.)
Hold down the Ctrl key and drag the references across into your Word document.

Each reference will display all the information stored in the EndNote record.

Correcting journal titles

When you enter the title of a journal into an EndNote record it is automatically added to a master term list. Occasionally, if you made a mistake in the original entry, you may find that any subsequent correct entries are overwritten by the incorrect version. To correct an entry in the journal term list simply follow the steps below:

Click on Tools > Open Term Lists > Journals Term List
Scroll down the alphabetical list of journals and click on the one that you want to change
Click on Edit Term...
Make any changes that you want to and then click on OK
Click on Close

The name of this journal will now have been updated and will display correctly.

Secondary references

If you want to add a secondary reference to a Word document in the format
(Smith 2004 in Brown 2008)
simply follow the steps below:

Insert the reference to Brown 2008 in the normal way
Click on the citation to highlight it and select the Edit Citations option from the EndNote toolbar
In the Prefix box add the text Smith 2004 in
Click on OK

Your citation will now display in Word as
(Smith 2004 in Brown 2008)

Note: If you do not use Smith 2004 elsewhere in your document then you may need to add it to your list of references manually.

When should I use the 'electronic article' reference type?

In EndNote there are reference types for both journal article and electronic article. When you export references into EndNote from the electronic databases they will display as journal articles. This means when you format them in Coventry Harvard Style they will not display a URL for the article, even though you accessed them online and there is a URL in the EndNote record.

These references are not wrong. Most articles available in the electronic databases are simply PDF versions of the printed journal. This means they are an exact copy of the print journal, so it is fine to reference them as a print journal article, without the URL.

Note: There are a small number of journals which are only made available electroncially and these would need to be entered into EndNote as an 'electronic article' in order to display the URL and Access Date fields. Usually these journals will be displayed in html format on their own website and will not have PDFs of the articles available.

ProQuest Nursing Journals: exporting references into EndNote

If you want to export references from ProQuest Nursing Journals into your EndNote library simply follow the steps below:

Carry out your search as normal
Mark the references you are interested in, using the tick box to the left of the record
Click on the Export option at the top of the results list
Click on Export directly to ProCite, EndNote or Reference Manager
Select your EndNote library from the dialog box and click on Open

Your references will now appear in your EndNote library.

Institute of Physics Archive: importing references

If you want to import references from the Institute of Physics Archive into your EndNote library simply follow the steps below:

Saving the references

Choose the Search tab towards the top of the screen and carry out your search as normal
Mark the records that you are interested in, using the tick box on the left
Scroll down to the Export/Email search result option towards the bottom of the screen
Under Step 1 choose Selected records
Under Step 2 choose EndNote
Under Step 4 choose Disk
Click on Export Results
Go to File > Save as and save the file in the normal way. Note: remember to change the Save as type to Text file.

Importing the references

In your EndNote library select File > Import...
Click Choose File... and find the file you have just saved, then click Open
Use the drop down menu under Import Option to select Other Filters...
Select the EndNote Import filter and click Choose
Click on Import

The references will now appear in your EndNote library

If you are working at home and don't want to be connected to the internet all the time you could write your assignment in Word and insert a temporary flag/note where you want a citation to appear. You can then go online later, to access your EndNote library through the Remote Desktop Connection, and work through your Word document inserting the citations from EndNote.

Science Direct: exporting references into EndNote

If you want to export references from Science Direct into your EndNote library simply follow the steps below:

Carry out your search in Science Direct as normal
Mark the references you are interested in, using the tick box on the left of the record
Click on Export Citations (at the top of the results list)
Select RIS format (for Reference Manager, ProCite, EndNote)
Click on Export
Select your EndNote library from the dialog box and click Open

Your references will now appear in your EndNote library.

Changing the default reference type

When you are entering a new reference into EndNote manually it defaults to the journal article reference type. If you are entering lots of books or websites you can change this default by following the instructions below:

From the Edit menu select Preferences...
Choose Reference Types from the list on the left
Under Default Reference Type select the reference type that you would like to make the default.
Click on OK.

Using EndNote from off-campus

EndNote is still available to use from off-campus through the Remote Desktop Connection.

If you tried to gain access over the weekend you may have experienced difficulties, as IT Services were working on the University network. Access has now been fully restored, so you should be able to continue to work as normal.

Disabling Zotero

If you have Zotero (a free reference management programme) on your PC you may find that when you try to export references to you EndNote library they automatically go into Zotero instead. To stop this from happening you will need to temporarily disable the Zotero plugin by following the steps below:

Firefox

From the Tools menu select Add-ons
Find the Zotero entry and click the Disable button.
Close the Add-ons window down

Note: you may need to restart your browser to activate these changes.

Internet Explorer

From the Tools menu and select Manage Add-ons
Select Enable or Disable Add-ons...
Click on the Zotero entry
Under Settings click Disable
Click on OK.

Using EndNote with a Mac

The version of the EndNote software purchased by the University is for use with Windows and is not compatible with Macs.

It is possible to purchase an individual EndNote licence for use with a Mac from Adept Science at a reduced student rate. Alternatively, you could try looking at the open source reference management software Zotero. Although you will not be able to format references automatically into the Coventry University Harvard Style, you should be able to get a close match which can then be altered as needed.

Exporting references from a specific EndNote group

If you want to send the references in one of your EndNote groups to another EndNote user so that they can add them to their library, simply follow the steps below:

Exporting references from the first EndNote library

In your EndNote library view the group of references that you want to export
Make sure that all the references in the group are highlighted (use the Ctrl or Shift key)
Go to File > Export...
Under Output style select EndNote Export
Make sure the Export selected references box is ticked
Save the text file in the normal way

Importing references into the second EndNote library

In EndNote go to File > Import...
Click on Choose File... and select the text file of references to be imported
Under Import Option select EndNote Import
Click on Import

The references will be added to the EndNote library

Multiple EndNote libraries

Although the EndNote software will allow you to create more than one EndNote library, it is best to just create a single library and then use the Groups feature to organise your references.

If you try to insert references from different EndNote libraries into a single Word document you may run into difficulties.

Reminder: Missing EndNote tools in Word

Remember, if you are using EndNote on a campus PC you will need to run the Configure option from the EndNote menu in order to be able to add references to a Word document:

Close all Microsoft Office programs e.g. Word, Outlook
Go to Start > Programs > EndNote > Configure EndNote
Make sure Configure EndNote components for me is selected and click Next
Make sure that Unified Cite While you Write for Microsoft Word is selected and click Next
A message will tell you that the configuration is complete. Click Finish

When you open Word there will now be an EndNote menu tab containing the EndNote tools.

Multiple chapters in the same book

If you are reading an edited collection of essays and want to enter references for several different chapters into your EndNote library, you don't have to create a record from scratch for every chapter.

Create a record for one chapter, making sure that you choose the reference type Book Section so that you can enter the details of both the individual chapter and the book details.
Close the record to save it as normal.
Make sure the record is highlighted in the main library window.
Press Ctrl C, and then Ctrl V

This will create a duplicate entry in your Library. You can then simply open this record and alter the author and the title of the chapter, without having to enter the full book details again.

Searching the British Library catalogue through EndNote

If you want to enter references from the British Library catalogue into your EndNote library, you can do so directly through EndNote's online search. Simply follow the steps below.

In EndNote go to Tools > Online Search > New Search…
Select British Library from the connection file list and click Choose.
Enter a search in the online search box, then click on Search.
(Note: you can choose to just search a particular field using the options under Any Field.)
Select how many of the references you would like to put into your EndNote library, then click OK.
Close the search window.
Select the references you want to add to your EndNote library by holding down the Control key and clicking on them.
Click on Copy Selected to and choose your EndNote library.
The selected references will be added to your library.

Formatting author names

If you enter an author name such as de Bruges, Lewis into your EndNote library you may find that when you insert the reference into a Word document it is not correctly listed in the 'B' section of your list of references, but instead is placed under 'D'. You can solve this by following the instructions below:

In EndNote go to Edit > Preferences...
Select Sorting from the menu on the left
In the Author Field box type de
Then click on Add
Click on OK

When you update the list of references in your Word document the author should now appear in the correct place.

UPDATE: Remote Desktop Connection update to Word

IT Services have successfully moved the staff thin client service (itsts.coventry.ac.uk) over to Microsoft Office 2007.

All access to EndNote for staff and students, both on and off-campus, should now be with Word 2007.

Remote Desktop Connection update to Word

The student thin client service (stuts.coventry.ac.uk) has now been updated to Microsoft Office 2007. If you login to the Remote Desktop Connection to use EndNote from off-campus you will now be working with Word 2007.

Note: The staff thin client service (itsts.coventry.ac.uk) is currently still running Microsoft Office 2003, but should be updated to Office 2007 shortly.

Updates to EndNote at Coventry

IT Services have now updated EndNote on the University network. A number of database filters which were causing problems, such as ASSIA, should now import references into EndNote accurately, without you having to ‘tidy’ them up.

The connection file for the Library catalogue has also been re-activated which means that you can search the catalogue from within EndNote and export references directly into your EndNote library.

Working as a group with EndNote

The University of Queensland Australia have produced some useful instructions for working collaboratively with EndNote. These will be particularly useful if you are a member of a university research group, or if you are working on a joint paper with another author.

Creating an automatic table of contents in Word

If you want to create an automatic table of contents (or use the indexing feature) in a Word document that has EndNote references, you need to make sure that you remove the field codes and convert the document to plain text first, otherwise the formatting of your references will be affected.

Make sure that you have inserted all the citations that you need and that your list of references is formatted correctly, then save your document as normal.

In Word 2007
Select the EndNote menu tab, then click on the arrow to the right of the Convert Citations and Bibliography option and select Convert to Plain Text.

In Word 2003
Click on the Remove Field Codes icon in the EndNote toolbar (sixth from the right).

A new version of your document will be created. You can then use the automatic table of contents function in this new document.

Author names appearing in red

If you are entering a reference into EndNote manually and add a new author to your database it will appear in red. This does not mean that you have entered it wrongly, it simply highlights that this is the first time you have used this author.
When you enter an author for a second or third time the text will appear in black and EndNote’s auto-complete function will save you having to type it in again in full.

Saving results in the Emerald database

Sometimes when you have selected your results in Emerald and click on Go to add them to the marked list, you will get an error message:
http error: 500 Server Error

This does not affect the saving of your references. Simply select the Search & Browse option from the green menu bar on the left of the screen and click on Marked List. You should then be able to view your selected references and save them as normal.

Creating a list of references without inserting citations

If you have already inserted citations into your assignment manually, you can still use EndNote to create a list of references at the end of your document. Simply follow the steps below:

Make sure that you can view your EndNote Library and Word on screen at the same time by resizing the windows.
Check that the correct output style is selected in EndNote.
Highlight the references that you want to include in your bibliography. (Use the Ctrl key to select multiple references.)
Hold down the Ctrl key and drag the references into your Word document.

Your bibliography will automatically be formatted using your chosen style.

Note: Select your references carefully as you cannot go back and add extra references without starting the whole process from scratch.

EndNote missing in departmental computer labs

Adding an image to a reference

It is possible to attach an image to a reference in your EndNote library. This image can then be inserted into a Word document. Simply follow the steps below.

Adding an image to a reference within EndNote

Open the reference that you want to add the image to by double clicking on it.
Go to References > Figure > Attach Figure...
Click on Choose File... and find the image you want to add, then click Open.
The image will be added to the Figure field in you reference.
Add a name for your image in the Caption field – this will help you to search for it later.
Close the reference and save it.

The reference will now display a tick in the figure column to the left of the author name.

Including an image in a Word document

Place the cursor in the Word document in the position where you want to insert the image.
From the EndNote menu tab in Word 2007 click on the arrow next to Insert Citation and select Find Figure... (In Word 2003 use the Find Figure(s) icon in the EndNote toolbar)
Type the name of the caption that you gave to the image in the Find box, then click Search.
Highlight the correct image in the list by clicking on it. Then click Insert.

The image will be inserted into your document, together with the caption.

Microsoft Word 2007

IT Services are in the process of installing Office 2007 on all campus PCs; however the Thin Client Service will still continue to run Office 2003 for the moment.

If you create a Word document on-campus and then want to use it with EndNote from home (through the Remote Desktop Connection), you will need to save it in the 97-2003 compatibility mode.

To do this, click on the Office button in the top left of the screen and choose Save As > Word 97-2003 Document. Give your document a name and save as normal.

This document can now be used both in Word 2007 and Word 2003 which will allow you to use EndNote both on and off campus.

Changing the reference type for more than one reference at once

If you want to change the reference type for a group of references that are already in your EndNote library (e.g. from journal article to electronic journal article) you can do so in one go without having to open each reference separately.

Make sure that only the references you want to change are visible in the main EndNote library window (you may have to search for them first)
Highlight the references and then select Edit > Change Text...
Using the drop down menu next to In: select Reference Type
In the Search for: box type the current reference type e.g. Journal Article
In the Change the text to: box type the reference type you want to use e.g. Electronic Article
Click on Change
A message will appear telling you how many references will be changed. Click on OK to make the change.

Using EndNote with Microsoft Office 2007

You may be aware that IT Services are currently working to install Microsoft Office 2007 across the University network. This will result in some changes to the way EndNote works in Word. The most obvious difference is the way that the toolbar displays.

A workbook is now available from the Library's EndNote webpages which will show you how to use the main features of EndNote in Word 2007.

Entering a company name as an author

If you enter a company name which has a comma in it as an author in EndNote you may find that it does not display properly when you come to format your list of references.

E.g. American Advertising Federation, Inc. will display as American Advertising Federation, I.

In order to get round this problem you simply need to add an extra comma in the EndNote author field, as below:

American Advertising Federation,, Inc.

This double comma will now make the reference display correctly in your list of references.

Direct Export isn't working

If you find that the Export option isn't working in a database when you try to put references into your EndNote library, try clearing the Cache in your web browser, as you may be storing a cached version of the webpage. Simply follow the steps below:

Internet Explorer

Go to Tools and select Internet Options
Make sure the General tab is displayed
Under the section Temporary Internet Files click Delete Files then OK

Firefox

Go to Tools > Options
Click on the Privacy button
Next to the Cache option click Clear, then OK

Setting EndNote to automatically open when you open Word

It is possible to set EndNote to automatically open and close when you open or close a Word document. If you want to do this simply follow the steps below:

In Word click on Tools > EndNote X1 > Cite While You Write Preferences
Select the options Open EndNote when starting Word and Close EndNote when leaving Word
Click on OK

Note: The instructions above are for Word 2003, if you are using Word 2007 then the steps are slightly different:

Click on the EndNote tab
Select Preferences
Select the options Open EndNote when starting Word and Close EndNote when leaving Word
Click on OK

Using the Personal Communication reference type with CU Harvard

The Personal Communication reference type in EndNote can be used to create references for information gained by letter, email or telephone call. You will need to complete the following fields, depending on the type of communication:

A letter
Author-Year-Title-Type-Recipient-Date

An email
Author-Year-Author Address-Title-Type-Recipient-Date

A telephone conversation
Author-Year-Title-Type-Recipient-Date

Note: If you need to make any small alterations to the reference that is generated, wait until you have finished your document and removed the field codes. You will then be able to make any amendments in the text and resave the document.

Inactive menu commands

Sometimes when you open a menu in EndNote you may find that the command you need is greyed out and inactive (e.g. New Reference, Import). If this happens simply close the menu and click anywhere in the main reference list on the right of the screen. Go back to the menu and the command should now be available.

Sharing references from an EndNote library with another EndNote user

If you are working on a group project with other people and need to use the same references you can easily export them from one EndNote library into another. Simply follow the steps below:

In the EndNote library select the group of references that you want to export, so that they are displayed in the main window
Click on File > Export…
Use the drop down menu Output style to select RefMan (RIS) Export
Give the file a name and save it in the normal way

Importing references

Open the EndNote library that you want to put the references into
Click on File > Import…
Click on Choose File… and select the file of references you want to import
Under Import Option select RefMan RIS
Click on Import

The references will be imported into the EndNote library.

Disappearing EndNote toolbar

If the EndNote toolbar is not visible in Word there are two things that you can try:

Firstly,
In Word click on View > Toolbars > EndNote X1

If the EndNote toolbar is not available from this menu then you will need to run the Configure option by following the steps below:

Close all Microsoft Office programs
Go to Start > Programs > EndNote > Configure EndNote
Make sure Configure EndNote components for me is selected and click Next
Make sure that Unified Cite While you Write for Microsoft Word is selected and click Next
A message will tell you that the configuration is complete. Click Finish

When you open Word the EndNote toolbar should now be visible.

If you export Datamonitor reports from Business Source Premier into your EndNote library you may need to tidy them up a bit in order to get them to display properly. Here's how to do it:

Open up the reference by double-clicking on it from the list in EndNote
Change the Reference Type to Report (using the drop down menu)
You will need to add an Author, which in this case will be Datamonitor - make sure you remember to put a comma at the end e.g. Datamonitor,
Add the Year - you can usually find this from the first page of the report
Add the City - it makes sense to go with the UK office, so it will be London
Remove Datamonitor from the Institution field and put it in as the Publisher
Close the reference down and save the changes.

Your reference should now format correctly.

Using EndNote to search the Library Catalogue

Unfortunately due to the recent upgrade to the Library Catalogue the Online Search option within EndNote is currently not working. We will try to fix this as soon as possible.
In the meantime you can still get references from the Catalogue into your EndNote library by using the Import method:

Carry out your search as normal and mark the records that you are interested in, using the tick box on the left
Click on the eMail/Save option towards the top of the screen
Under Record format select ISI ResearchSoft Tagged Output Format, then click Go
Click on Save Selected and save the file as a text file.

Importing into EndNote

In EndNote click on File > Import...
Click Choose File... and find the file you have just saved
Under Import Option choose Other filters... and select RefMan RIS, then click Choose
Click Import

Your references will be imported into your EndNote library.

Chicago Style

If you are asked to use the Chicago style to format your references there are three different chicago styles in EndNote to choose from:

Chicago 15th A includes footnotes and a bibliography, but does not display in-text citations.
Chicago 15th B includes in-text citations, together with a formatted bibliography.
Chicago Review is the specific style for use with the journal Chicago Review.

The chances are you will need to use Chicago 15th A, but you need to check this with your tutor first.

Adding a title to your list of references

You can automatically add a title to a list of references in a Word document by following the steps below:

From the EndNote toolbar in Word, click on the Format Bibliography icon (third from the left)
Select the Layout tab
In the Bibliography title box enter the title for your list of references
Click on the Text Format option on the right if you want to change the format of the font
Click OK

The text you entered will now be displayed at the top of your list of references.

Cambridge Journals: exporting references into EndNote

If you want to export references from Cambridge Journals into your EndNote library simply follow the steps below:

Mark the references you are interested in by clicking in the tick box to the right of the record
Select the Export Citation(s) option towards the top of the screen
Under Choose file format: select EndNote
Click on Download at the bottom of the screen
Select Open from the File Download window

Your references will be exported to your EndNote library.

EndNote on the Remote Desktop Connection

There has been a delay in upgrading EndNote on the Thin Client Remote Desktop Connection.
If you use EndNote from home through this service you need to be aware of the following points:

If you create more than 50 groups in your EndNote library when you are on campus these groups will not be displayed when you access your library from home, as the limit is still set to 50.
There are slight differences between the Coventry University Harvard style available on campus and the version on the Remote Desktop Connection. The campus version is the most up-to-date.
Upgrades such as the CSA database and Cochrane Library filters and the connection to the Library catalogue, which are active on campus, are not yet available on the Remote Desktop Connection.

IT Services are currently testing the upgrade on the Thin Client service and will activate it as soon as possible. A message will be added to the Blog as soon as the upgrade is available.

Entering an author name with post-nominals

Format citations in Word

If when you insert a citation into a Word document it displays in curly brackets
e.g. {Smith, 2001 #8}
it just means that the automatic formatting option has been turned off. To turn it back on simply follow the steps below:

From the EndNote toolbar in Word, click on the Format Bibliography icon (3rd from the left)
Select the Instant Formatting tab
Select the Turn On instant formatting option, then click OK.

Your citations should automatically format themselves and any further citations that you add will appear as normal.

Exporting book references from the Library Catalogue

You can now export references directly from the Library Catalogue into your EndNote library. Simply follow the steps below:

In EndNote click on Tools>Online Search>New Search…
Select Coventry U from the connection file list, then click Choose
Enter your search in the Online Search box and click on Search
Click on OK to view the results of your search
Click on Close. Your results will now be displayed on screen
Select the relevant references from the list (hold down the Control key to allow you to select multiple references)
Click on Copy Selected to and choose your EndNote library

Your references will now appear in your EndNote library.

The Cochrane Library now works with EndNote

As part of the EndNote update a filter has been added to allow records to be imported from the Cochrane Library. Simply follow the steps below:

Carry out your search as normal
Use the tick box on the left to mark the records that you are interested in
Scroll to the bottom of the screen and click on Export Selected Citations
Under Export Type select whether you want to include the abstract, then click on Go
In the dialog box click on Save and save the file as normal
A message will tell you that the download is complete. Click on Close.

In your EndNote library

Click on File>Import…
Click on Choose File… and find the file that you have just saved, then click Open
Under Import Option select Other Filters…. Select Cochrane Library (Wiley) from the list and click Choose
Click on Import.

Your references will be imported into EndNote

Updates to EndNote

An update to the EndNote software has now been carried out on the main University network and will shortly be released on the Thin Client Remote Desktop Connection.
The main changes are as follows:

You can now create up to 500 groups in your EndNote library
Any URLs in the preview display of the reference are clickable
The import filters for the CSA databases (e.g. ASSIA, ANTE, LLBA) now work correctly
The CU Harvard style has been updated
You can now search the Library Catalogue from within EndNote using the Online Search feature

Using Track Changes in Word

It is best to avoid using the Track Changes feature in Word if you are using EndNote to format references, otherwise the programs will run increasingly slowly and may eventually crash.
If you need to use Track Changes to alter the main text, make sure you do not make any changes to your citations/references until you have turned it off again.

Saving an EndNote library to a new location

If you want to save your EndNote library to a new location (e.g. a USB stick) it is best to use Windows Explorer. You will need to remember to copy across both the .enl file and the .data folder for your library (both will have the same file name).

Note: If you use the File>Copy Library command within EndNote to make a copy of your library you will lose any groups that you have created.

Adding an access date to lots of records at the same time

For some references in Coventry University Harvard style (e.g. web pages and electronic journal articles) you need to give the date on which you accessed them. Instead of having to go into each record separately to add an access date you can add the same date to lots of references at the same time.

Note: EndNote will ‘edit’ all of the records currently visible on the screen. You may have to use the Search References option to only display the references that you want to change.

Click on References > Change and Move Fields
Under Change Fields select which field you want to alter using the drop down menu for the box In: e.g. Access Date
Enter the date that you viewed the articles in the text box on the right, then click on OK

A message will appear to confirm how many references are going to be altered.

Changing the style of your references in Word

The easiest way to change the format of your references in Word is to use the Format Bibliography icon from the EndNote toolbar. Select Browse... and click on the field heading Name to sort the styles alphabetically. Choose the style you want to use and click on OK.

Taylor and Francis Journals (Informaworld): Exporting references into EndNote

If you want to export references from any of the Taylor & Francis journals (available through Informaworld) into EndNote simply follow the steps below:

Carry out your search as normal.
Mark the articles that you want to put into your EndNote library by clicking in the box to the left of the reference.
In the grey bar at the top of the article list, under Choose an Action: select Download Citation and click on Go.
Under Choose a format: select EndNote Direct Export.
Under Choose delivery format: select Download file.
Click on Go.
From the File Download box click on Open.
Select your EndNote library and click Open.

Your references will now appear in your EndNote library.

Deleting file attachments

The easiest way to delete an unwanted file attachment is to open the reference (by double clicking on it), scroll down to the File Attachment field, highlight the attachment and delete it, then close and save the reference.

Sage Journals: exporting references into EndNote

If you want to export references from Sage Journals into EndNote simply follow the steps below:

Carry out your search in Sage as normal.
Mark the results you are interested in using the Check Item option.
Click on Add to My Marked Citations (on the right hand side of the screen).
Select the option Email/Download/Save/Print My Marked citations.
Click on Go.
Select the option EXPORT/DOWNLOAD to Citation Manager.
Click on the link for EndNote from the top of the list.
Click Open.
Select your EndNote library from the dialog box and click Open.

Your references will now appear in your EndNote library.

Creating one bibliography from several chapters with individual lists of references

If you are writing a dissertation you may need to include a list of references at the end of each chapter and then create a complete bibliography to put at the end of your work. To do this follow the steps below:

Write each chapter in a separate Word document and insert your references from EndNote as normal, to create a list of references at the end of the chapter
In EndNote go to Tools > Format Paper > Format Paper…
Select the first chapter of your dissertation and click Open
Choose Scan Next and open each of the remaining chapters in order
Select the output style that you want to use
Click Format

EndNote will make a formatted copy of each document and put a complete bibliography at the end of the last chapter.

EndNote error in Word

If you encounter an EndNote error message "The specified Word library cannot be unloaded because it is in use." when opening Word documents you need to follow the steps below:

In Word go to Help > About Microsoft Office Word
Select Disabled items…
Select EndNote and click OK
If prompted, allow the files to be loaded into Word
Close Word and re-open

The EndNote toolbar should now appear within Word and the error message should not reoccur.

Note: The instructions above are for Word 2003/2003/2000. If you are using Word 2007 the steps will differ slightly:

Click on the Office Icon and select Word Options
Click on Add-ins
Change the Manage options to Disabled Items
Click Go
Highlight any EndNote items that are displayed and click Enable
Click Close and then OK.
If prompted, allow the files to be loaded into Word
Close Word and re-open

Accessing files stored on your own PC through the Remote Desktop

It is possible to set up the Remote Desktop to allow you to view your own PC's drives, as well as the campus H: drive.

From the Remote Desktop Connection login window select Options (you must do this before you click Connect)
Click on the Local Resources tab
Under Local devices select Disk drives
Click Connect

Once you are logged in, your own PC's drives will be visible in the My Document window of the Remote Desktop.

Accessing EndNote from home

Please remember that the University licence for EndNote does NOT allow you to download a copy of the software to your own laptop or PC. To access EndNote from your own PC you need to use the Remote Desktop Connection. Instructions for this can be found on the Library's EndNote webpages

If you wish to purchase an individual student licence to install EndNote on your own PC you can do so from the Adept Scientific website. Login with your Athens username and password and you will be able to purchase at discounted rates, starting from about £64.00.

Changing the default display fields in EndNote

Click on Edit > Preferences…

Word toolbar in the Remote Desktop Connection

If you are using the Remote Desktop Connection to access EndNote from home there will be no option to Configure EndNote from the Start > Programs menu (as shown in the EndNote workbook).
Instead, the EndNote toolbar should automatically appear when you open Word. If this does not happen, click on View > Toolbars > EndNoteX1 to make the toolbar visible.

Finding duplicate references

You can search for duplicate references within your EndNote library by clicking on References > Find Duplicates.
If the records are from different databases you can choose the best version of the reference and then delete the unwanted references by highlighting them and then clicking on References > Delete References.

Uploading assignments to CUOnline

Remember, before you can submit an assignment which contains EndNote references to CUOnline, you will need to reformat the document. To do this, select the Remove Field Codes icon from the EndNote toolbar in Word. A new copy of your document will be created which you can save and upload to CUOnline.

Changing the font for your list of references in Word

Importing references from the Cochrane Library

Importing references from PubMed

In order to import references from PubMed into EndNote you need to make sure that you save them in the correct format.

Saving references in PubMed

Enter your search as normal and mark the references you want to put into EndNote by clicking in the box to the left of the record.
From the Send to drop down menu select Clipboard.
Click on the Clipboard tab.
From the Display drop down menu select MEDLINE.
Select File from the drop down Send to menu.
Save the file in the normal way. (Note: if the save dialog box does not appear you may need to turn off pop-up blockers and try again.)

Importing references into EndNote

Click on File>Import.
Click Choose file... and find the file you have just saved.
Under Import option choose PubMed (NLM).
Click Import.

Your references will be imported into EndNote.

Checking access to full text journal articles

It is possible to set up EndNote so that it can check if we have access to a journal article electronically. To turn this function on, follow the steps below.

Within EndNote go to Edit > Preferences…
From the menu on the left select URLs & Links
Tick the box next to Enable OpenURL
In the box OpenUrl Path replace the existing URL with http://193.61.107.24:9003/coventry
Click OK
Select one of the journal references in your library by clicking on it
Right click and from the menu select URL > OpenURL Link
An SFX window will open to tell you if we have access to the article electronically. If we do, simply follow the links in the usual way.

Note: This feature will only check electronic journals, it will not check whether books or printed journals are available.

Importing references from the Library Catalogue

In EndNote import the file in the normal way using the Zetoc (MIMAS) filter.

Importing references from the Library Catalogue

Missing menu commands

Sometimes some of the basic menu commands in EndNoteX1 e.g. File>Import, References>New Reference are greyed out and unavailable. This is usually because the Groups part of the screen is highlighted. Simply come out of the menu and click anywhere in the right hand References part of the screen and then re-open the menu. The command should now be active.

Transferring references with file attachments between EndNote and EndNote Web

There is currently a problem which means that if you try and transfer a reference that has a file attachment from an EndNote desktop library to your EndNote Web account and then back again, the file attachment will be lost.
EndNote are working to solve this, but for the moment it is best to avoid transferring references with attachments.

Spell checking references in EndNote

There is a problem with the spell check in the new version of EndNote, which means that the dicitonary sometimes appears to be empty. This can be fixed by following the steps below:

Open a reference in EndNote and click on the spell check icon (or go to Tools > Spell Check).
Click on Options... at the bottom of the dialog box.
Under Main Dictionary language select British English.
Click OK.

The spell check should now work correctly.

EndNote on staff PCs

Be aware that after the recent upgrade EndNote now sits on the C: drive on some staff PCs, rather than the H: drive as previously. If departmental technicians need to work on your PC for any reason it is worth making them aware of this.

Linking files to your references

It is now easier to link files to your references. Rather than having to use the menu commands you can now simply drag and drop the file onto the reference in your list of references.

Remember: you can link to Word and Excel files, as well as PDF documents.

Using EndNote with word processors other than Microsoft Word

The EndNote Cite-While-You-Write toolbar is only available to use in Microsoft Word, however you can use EndNote with other word processors (e.g. Open Office) as long as they can save files in Rich Text Format (RTF).

Inserting references from EndNote

Highlight the reference in EndNote that you want to use. From the Edit menu choose Copy.
Place the cursor in your document where you want to insert the reference and use the Paste option in your word processor to insert the reference.
Your reference will appear in a temporary citation format e.g. {Bennett, 2002}

Note: If you have EndNote and your word processor visible on screen at the same time you can drag the reference across.

Formatting the document

Once you have finished the document save it in a Rich Text Format (RTF).
Close the file.
In EndNote go to Tools > Format Paper > Format Paper...
Find the file that you have saved and select Open.
A message will tell you how many citations have been matched.
Under Output Style select the style you wish to use.
Click on Format.
A new version of your document will be created for you to save.
Open the new document in your word processor.

Note: If you want to make any changes to the document you will need to make them in the original version and then reformat the document in EndNote.

You can also use this feature with EndNote Web, however you will have to type the temporary citations into the Word document manually, rather than copying them across. Use the Format Paper option under the Format tab in EndNote Web to format the list of references.

Importing references from the CSA databases

There is currently a problem with the EndNote filter which imports references from some of the CSA databases:

Art Bibliographies Modern
British Humanities Index
Design & Applied Arts Index
Linguistics & Language Behaviour Abstracts

This means that the author details are not appearing in the correct place in the EndNote reference.

Importing references from the Emerald database

When you import references from the Emerald database you may find that some of the original punctuation is replaced by strange text characters. To correct this problem you need to import the references again using the following steps:

Click on File > Import
Select your text file and choose the Emerald filter as normal
Under Text Translation select Unicode (UTF-8)
Click on Import

Your references should now import with the correct punctuation.

Installing EndNote on a university-owned laptop

University-owned laptops, issued to members of staff, have been added to the distribution list for EndNoteX1. Once connected to the University network you will be able to download the new version of EndNote yourself using the Add/Remove Program option in the Control Panel. Remember you will also need to configure the EndNote toolbar for Word using the instructions in the previous posting.

Note: You will need to remove any previous versions of EndNote before downloading EndNoteX1

EndNote toolbar in Word

If the EndNoteX1 toolbar does not appear in Word you will need to take the following steps:

Close down the EndNote and Word programs
Go to Start > Programs > EndNote > Configure EndNote
Select Configure EndNote components for me and click Next
Select Unified Cite While You Write for Microsoft Word and then click Next
A message will tell you that the configuration is complete. Click Finish

When you open Word the EndNoteX1 toolbar should be visible.

Launch of EndNoteX1 for staff

IT Services are preparing to switch over to the new version of EndNote: EndNoteX1. There are 2 important dates that you need to be aware of:

Wednesday 24th October
ITS will automatically remove EndNote X from your computer. In order for this to happen you will need to logout of your computer, but leave it switched on overnight. When you arrive at work the following morning you will need to press the spacebar to reactivate the monitor from standby.

Thursday 25th October
You will now be able to install EndNote X1 on your PC by going to Start > Settings > Control Panel > Add or Remove Programs > Add New Programs.

Note: Your existing EndNote libraries will open in the new version of EndNote.
