Changing the reference type for more than one reference at once

If you want to change the reference type for a group of references that are already in your EndNote library (e.g. from journal article to electronic journal article) you can do so in one go without having to open each reference separately.

  • Make sure that only the references you want to change are visible in the main EndNote library window (you may have to search for them first)
  • Highlight the references and then select Edit > Change Text...
  • Using the drop down menu next to In: select Reference Type
  • In the Search for: box type the current reference type e.g. Journal Article
  • In the Change the text to: box type the reference type you want to use e.g. Electronic Article
  • Click on Change
  • A message will appear telling you how many references will be changed. Click on OK to make the change.

Adding an access date to lots of records at the same time

For some references in Coventry University Harvard style (e.g. web pages and electronic journal articles) you need to give the date on which you accessed them. Instead of having to go into each record separately to add an access date you can add the same date to lots of references at the same time.

Note: EndNote will ‘edit’ all of the records currently visible on the screen. You may have to use the Search References option to only display the references that you want to change.

  • Click on References > Change and Move Fields
  • Under Change Fields select which field you want to alter using the drop down menu for the box In: e.g. Access Date
  • Enter the date that you viewed the articles in the text box on the right, then click on OK

A message will appear to confirm how many references are going to be altered.

Mass editing of references

It is possible to edit a number of references at the same time e.g. if you wanted to add a common keyword to a set of references.

EndNote will perform the ‘Edit’ on all the visible references in your library. If you want to make changes to a limited number of references you will need to search for these:
  • Click on References > Search References
  • Use the search fields to search for the references you want to change. These should now appear in your main EndNote library window (the rest of your references remain ‘hidden’).

  • Click on References > Change and Move Fields
  • Select which field you want to alter using the drop down menu
  • Choose where you want the change to appear e.g. after field’s text if you want to add an extra keyword
  • Type your text in the box to the right, then click on OK.

A message will appear to confirm how many references are going to be altered.


Click on References > Show All References to view your complete library again.
